ORAL PRESENTATIONS

BEFORE THE CONGRESS

Registration

If you have not yet registered, we kindly ask you to do so as soon as possible through the following website: https://www.wc12canada.org/registration-information. All speakers must be registered by July 7.

Session Program

All 60 sessions have now been scheduled - please refer to the Program-at-a-Glance. The (almost) finalized program is now available on the WC12 Congress website. Please click on the maple leaf to see all session information. Please note that it is no longer possible to change the date and time of presentations. Session chairs have determined speaker order, as outlined in the program document. Sessions are designated as symposia or workshops, with 90-min or 120-min duration. The vast majority of oral presentations are 10 min + 2 min Q&A. Please reach out to your Session Chair if you have any specific questions related to your session. Please direct other program-related inquiries to the Congress secretariat (Klinkhamer Group).

Required Submissions before the Congress

The following information must be submitted to Klinkhamer Group | conferences & events by July 20. If we do not receive this information by the specified date, we will assume that the information previously submitted is correct.

Information required by July 20:

  • Notification of any minor changes to the names of presenters, authors, affiliations, or abstract titles.
    Please note that no further changes can be made to the abstract core text.

PREPARING FOR YOUR PRESENTATION

Content and Language

As a speaker, you are responsible for the content of your presentation, including any graphics. “No photography” or “no recording” symbols may be included, but the Organizing Committee is neither responsible nor guarantees the protection of preliminary or sensitive data. Please note that all presentations and questions must be in English, as it is the official language of the Congress.

Presentation Formats and Duration

Various presentation formats will be utilized during the Congress. We kindly request that all speakers adhere to their allotted time (mostly 10 min + 2 min Q&A) out of respect for other speakers and the audience. We hope to provide everyone a fair opportunity to present their latest work and program timing will be strictly followed. Please check with your Chair for speaker order and timing-related inquiries.

Abstract Book

Your name and presentation title will be included in the final program (on website and WC12 app) while the abstract will be published in the abstract book by ALTEX Proceedings. ALTEX Proceedings collaborates with the organizers of various scientific conferences and symposia to publish Abstract Books and Proceedings focusing on the development and promotion of alternatives to animal experiments. The abstract book will be distributed digitally.

DURING THE CONGRESS

Meeting Rooms and Technicalities

Please bring your presentation file(s) in the recommended format on a USB flash drive to the Niagara Falls Convention Centre at your earliest convenience. We have a speaker-ready room available throughout Congress hours to upload your files to a WC12 laptop. Technicians will be available to assist you upload your presentations before the plenary session in the morning, during coffee and lunch breaks, or immediately following the evening plenary. You must upload your presentation minimum 2 hours before your scheduled session. Please note that it is not possible to use personal laptops for presentations. The Congress laptops will be connected to the screen and audio facilities. Additionally, a lectern with a microphone will be available for all speakers. If you require any additional equipment, please notify the Congress secretariat accordingly as soon as possible. Please make sure to include your session number and your name in the document file name.

Session Chairs

As a presenter, we kindly request that you arrive approximately 15 minutes prior to the start of your session. The session chairs will welcome and guide you, as well as introduce you at the scheduled time for your presentation. In case of any issues, you can contact the session chairs, who will be in touch with the AV providers.

Screen Format

All presentations should be in a commonly compatible format, preferably using PowerPoint version 2010 or higher, with a 16:9 aspect ratio. The supported files are as follows:

  • Presentation: PPT, PPA, PPTA, PPTX, PDF
  • Video: AVI, MPG, MP4, WMV
  • Audio: WMA, MP3, WAV
  • Pictures: JPG

If your presentation includes audio (sound or voice), animation, or short movie files, we advise saving each file separately and testing them in advance.

For MAC users:

To use MAC presentations on a PC-compatible computer, please ensure that you follow the instructions below before bringing your presentation to the meeting room:

  • Use a common font such as Arial, Times New Roman, Verdana, etc. (special fonts might be changed to a default font on a PowerPoint-based PC).
  • Insert pictures as JPG files (avoid TIF, PNG, or PICT formats, as these may not be visible on a PowerPoint-based PC).
  • Utilize a common movie format like AVI, MPG, and WMV. MOV files from QuickTime will not be visible on a PowerPoint-based PC.

POSTER PRESENTATIONS

Session Program

The (almost) finalized program is now available on the WC12 Congress website. All posters will be visible during the entire Congress (from Monday to Thursday) and attendees may view posters during refreshment breaks and lunch each day. Specific poster presentation times (when authors need to be at their posters) have been scheduled by Theme - now available on the Program-at-a-Glance webpage (as indicated on image above). Unfortunately, it is not possible to change the date and time of the poster presentations. Please make sure you are present at your poster during the scheduled time. Your poster number will be provided shortly.

Presentation Formats and Duration

Poster presenters are requested to bring their own posters to the congress. The poster board's surface will measure 42 x 45 inches (107 x 114 cm). The poster must be portrait format, not landscape. The A0 format is a suitable example for poster size.

Also important:

  • Posters may be prepared on one sheet (preferred method) or alternatively on several smaller sheets.
  • Allocate the top of the poster for the title and authors as stated on the submitted abstract and contact details during the congress.
  • The text, illustrations, etc. should be bold enough to be read from a distance of two meters.
  • Conflict of interest disclosures should be included on your poster.
  • Please make your own arrangements for printing the poster and bring it with you to the Congress.
  • Materials (push-pins) for attaching the posters to the boards will be available in the poster area. Staff will also be in the poster area to assist you with poster locations. Presenting authors must hang their posters in the designated location by 9:00 am on Monday, August 28 at the latest.
  • Posters are to remain on display for the entire duration of the Congress.
  • Please remove them by the end of the Congress. The organizers are not responsible for any posters that have not been removed by the end of the Congress, Thursday August 31.
  • The poster boards will be numbered by the organizers. The presentation number assigned to your poster should not be written on your poster.


Abstract Book

Change of Speaker

If you are unable to present the poster, you may request another attendee to present on your behalf. However, please note that we cannot alter the name of the presenter in the Congress documentation or abstract book.

DURING THE CONGRESS

Please refer to the website and local signage at the Niagara Falls Convention Centre to find the poster board number to display your poster. Please use the board with the corresponding letter and number.

Presenters are requested to stand by their posters for discussion during the lunch break on the scheduled day of presentation (scheduled by Theme as indicated on the program and image above). Posters should be set up before Monday 28 August 9:00 am and dismantled by the end of the Congress, 1:00 pm on Thursday, August 31. Any posters left on the boards after the Congress will be discarded.
